Today on the blog we interviewed Karen Warley, Director of Sales at Charlestowne Hotels, to bring you some answers to common questions from our brides about hotel booking, enjoy!
"How far out should we have guests book their rooms?" As soon as possible, especially during the peak season! A good timeframe to book would be 6-9 months prior to the wedding date. And don’t worry about being charged, guests can cancel up to 14 days prior to the arrival date with no cost!
"Can we block rooms?" At our properties we are getting away from holding rooms simply because of all the different room types and arrival/departure dates. We are finding that most guests are wanting to come in a day or two early or leave a day or two after the wedding to take advantage of what the Holy City has to offer.
"What is the difference between a block and preferred rate?" A block is holding up to 5-10 rooms with a 60-90 day cut off period depending on the property. After this date, rooms are released and the group rate is no longer available. A preferred rate is valid up until 30 days prior to the arrival date. Rooms are not held, but can be booked online with a link/promotional code or by calling the property. This allows the guest to choose what room and rate best fits their needs. We can set group rates 1-2 days pre and post to allow for guests to come in early or stay late.
"What is the best way for our guests to get information on hotels?" Our websites are definitely the best resources! They are filled with photos and information about each property.
"Why aren't we getting a bigger discount since we are sending you so many rooms?" Our rates are priced to sell and may be similar to what is being offered online at the time of locking them in. However, please know that our online rates to the public will keep increasing as we get closer to the date and the availability is changing. However, the group rate will remain the same until 30 days prior to the arrival. We really try to give you the best deal that we can and are very thankful for you booking with us!
"What are the advantages of booking a privately owned hotel vs. a brand?" Both options are great depending on what you are your guests are looking for. I would recommend offering both to your wedding guests to allow for many options that will fit everyone’s budget and needs. We offer a wide variety of properties ranging from a 25 room Inn to the 120 room Brand Hotel.
"Do you charge for welcome bag delivery?" It varies from hotel to hotel. We do not charge to hand welcome bags to each guest at check in. However, there is usually a charge of $2 per room for the welcome bags to be delivered to each room. Guests love being greeted with welcome bags!
